Damariscotta Seeks Bids for Fire Station and Town Facility Upgrades

The Town of Damariscotta is issuing three separate Requests for Proposals (RFPs) aimed at improving municipal infrastructure, including energy efficiency upgrades and structural renovations to the Damariscotta Fire Station and Town Office.
Fire Station Insulation Installation RFP
In an effort to enhance energy efficiency and working conditions at its emergency facilities, the Town of Damariscotta is inviting qualified vendors to submit proposals for an insulation upgrade project at the fire station.

The scope of the insulation work includes:
- Removal of the current insulation materials;
- Installation of new insulation with strapping across two primary areas: the drop ceiling above the offices, kitchen, and meeting room (approximately 60 by 70 feet), and the drop ceiling above the truck bay (also approximately 60 by 70 feet);
- Safe and responsible disposal and recycling of waste insulation materials;
- Assistance with securing Efficiency Maine incentives to help offset project costs;
- Compliance with Davis-Bacon Act wage requirements and related reporting;
- Completion of the full scope of work within four months following contract signing;
- Execution of any additional tasks necessary to meet federal reporting guidelines.
Sealed proposals must be submitted no later than 4:00 p.m. on Wednesday, June 11, 2025, and will be publicly opened at the same time. Each submission must be clearly labeled “PROPOSAL– MUNICIPAL INSULATION UPGRADES” and addressed to:

Fire Station Roof Replacement RFP
In a separate but related infrastructure initiative, the Town is also soliciting sealed proposals for a full roof replacement at the Damariscotta Fire Station, located at 27 Massasoit Drive.
This project will involve the removal and replacement of three distinct roofing sections:
- A 70’ x 70’ bay roof with a truss structure and a 5/12 pitch;
- A 70’ x 60’ office roof with a similar truss and pitch design;
- A 16’ x 16’ hip-style hose tower roof that sits at least 35 feet above ground level.
Contractors are responsible for supplying all materials, labor, tools, and equipment needed to complete the job. All associated costs should be incorporated into the proposal’s price. The town expects the project to be fully completed before September 30, 2025.
Proposals must be sealed and clearly marked "Fire Station Roof Bid" and received by 5:00 p.m. on Wednesday, June 11, 2025. They should be sent or delivered to:
Damariscotta Town Office
Attn: Chief Roberts
21 School St.

Municipal Lighting Upgrade RFP
As part of its broader push for energy efficiency and modernization, the Town is also seeking bids from experienced lighting providers for LED lighting upgrades at two key municipal buildings: the Damariscotta Town Office (main level) and the Damariscotta Fire Station.
The lighting upgrade project includes:
- Removal of outdated lighting fixtures;
- Installation of smart, energy-efficient LED lighting in the same locations using the same wiring configurations;
- Safe disposal and recycling of old fixtures, including fluorescent tubes;
- Assistance in leveraging Efficiency Maine incentive programs;
- Adherence to Davis-Bacon Act requirements and reporting;
- Full project completion within three months of contract execution;
- Compliance with federal reporting regulations as required.
As with the other bids, sealed proposals will remain unopened until the official public opening at 4:00 p.m. on Wednesday, June 11, 2025. Submissions must be marked “PROPOSAL– MUNICIPAL LIGHTING UPGRADES” and sent to:

A Continued Investment in Public Facilities
These projects reflect Damariscotta’s ongoing investment in public infrastructure and energy efficiency. By upgrading the fire station’s roof and insulation and improving lighting systems in key municipal buildings, the Town aims to enhance operational efficiency, reduce energy costs, and support a safer working environment for municipal staff and emergency personnel.
Interested contractors are encouraged to review all applicable RFPs and submit complete proposals by the June 11 deadline.
